There a quite a few key steps that need to be taken during installation of an EditShare system. These steps vary broadly according to the size and scope of the project and the number of nodes and included features.
Some of these are physical steps that must be done, and others are prompts to collect and record information needed for commissioning. Please go through this list and verify that each item has been done and that each piece of data has been collected.
All of these must be addressed at some point during the setup of the system. Leaving any of these tasks unaddressed will cause delays in commissioning while our engineers contact the customer or channel partner to complete them.
Physical Installation Check List
General Installation
- Are all servers fully racked and secured where appropriate?
- Did you install the cable arms?
- For EFS 300 and EFS 450 systems only to access the mid-plane drives.
- This may require additional cable length, but it IS necessary.
- Failure to use the cable arms with enough slack to pull the server out of the rack while running will render the internal drives inaccessible without powering down. This will disrupt service for the customer if a RAID drive requires replacement.
- Are all server power supplies connected, tested, and operational?
Is there an APC UPS installed?
- Is the UPS connected with USB?

- Is the system connected to a house UPS via SNMP?
License
- Instruct the customer to go to my.editshare.com and create an account.
- They must make sure it is verified by replying to the email sent to the address.
- Provide that email to EditShare by notifying us in the Installation and Commissioning Ticket.
Network
- Are the iLO/IPMI ports connected for all servers?
- Are they on the main network with the server or on a management subnet?
- Have you noted the iLO password for each server and provided them to EditShare in the IP Chart?
- Are all server network connections showing link lights?
- Are all network bonds configured?
- If not, is at least one NIC port enabled with all others disabled?
- Are all server connections displaying correct link speeds?
- Is the switch's IP (VLAN IP) address set and known?
- Are jumbo frames enabled on the switch?
- If there are other network hops between servers and the clients, are Jumbo frames enabled at every hop?
- Are the proper VLANs set up on the switch?
- Is there an NTP server on the network?
- If yes, what are its IP and DNS name?
- If we are migrating data or metadata from an existing system.
- iLO or IPMI connected for each existing system
- IP address for the iLO or IPMI of each existing system.
- Existing hardware must remain running and operational.
- Existing hardware must be on the same network (VLAN/IP Range) as the new system.
- Does the network have a defined NTP clock source?
- All Servers must be synchronized to a single clock source, and we need to have a plan for how to lock them together.
- Dedicated house sync generator with NTP clock source,
- Central network server, or standard internet regional time servers.
- EFS Master set as NTP Source and all other nodes synced to it.
Data Migration or Retention of Existing Equipment
- Have you communicated with EditShare a clear plan for existing equipment?
- What equipment will be retained?
- What roll will it be performing?
- What equipment will be discarded?
- What data wil be migrated?
- Files Only
- Media and other essence files.
- Files + Flow Metadata
- Media and other essence files
- Flow Metadata (markers, keywords, custom fields)
- Automations and other workflows.
- Files Only
- Has the existing hardware been upgraded to the current version of EditShare?
- In order to migrate metadata or merge system hardware, the existing system must be upgraded to the current version of the EditShare Server.
- If we are migrating data or metadata from an existing system.
- iLO or IPMI connected for each existing system
- IP address for the iLO or IPMI of each existing system.
- Existing hardware must remain running and operational.
- Existing hardware must be on the same network (VLAN/IP Range) as the new system.
Remote Access for EditShare Commissioning Engineer
- Is the network the servers are on accessible via the internet?
- Is that a persistent or just a temporary connection?
- Main NIC or via iLO or both?
- Is there a workstation or jump computer set up that is accessible by EditShare staff and that can connect to the EditShare servers.
- Is Simple Help installed, and has the connection been tested?
- Is Simple Help installed, and has the connection been tested?
Flex Sync Servers
- Does the customer have an S3 bucket from one of the supported providers?
- AWS
- BackBlaze
- Wasabi
- We, or the customer, will need the specifics about that bucket in order to set up and test.
- Bucket Name
- Bucket Region
- Bucket Key and Secret
- Did you set up iLO and Networking for the FlexSync Server? (Static IPs and connections)
- Does the Flex Sync Server have permanent internet access? It is required.
- If this is an air-gapped system or a separate network, what is the plan for connecting to the S3 bucket?
High Availability
- If this is an HA system, are PDUs installed?
- Did you connect the network connections of each PDU to the network switch?
- Did you note what switch they PDUs are connected to? (main network or a separate management subnet)
- Did you connect the serial cables for the PDUs to each of the MDC servers?
- Did you make note of the specific PDU and power port that each server power supply is plugged into?
Ingest Servers
- Did you connect all SDI source cables with known good signals?
- Consult the SDI guide for input order for 4-channel and 8-channel Matrox cards.
- NOTE: 8Channel ingest is limited to a maximum raster of 1920x1080 29.976fps. 1920x1080 59.94p source will limit the max channels to 4.
- If external TC, Sync Signal, or AES audio is to be used, is the Matrox breakout adapter cable installed?
- Did you connect house sync (black burst or tri-level sync)
- This is not always necessary, but we need to know if it has been done so we know how to set up the Matrox I/O settings.
- Is there a "house" raster size and frame rate? We will need to know it.
- Is there house timecode source and if so, did you connect it?
- NOTE: If the house format is 720p 59.94, it will not work with external timecode, because there is no 60fps SMPTE time code standard.
- NOTE: if a house timecode and reference are to be used, all signals fed into the ingest server should be synced to that source and have the same frame rate.
- If the customer is using AES/EBU audio, are those cables connected with known good signals.
Ark
- Has the SAS Kit been installed in the server to be used with Ark?
- Has the LTO Library been connected and powered on?
- Have you labeled all tapes prior to inserting them into the LTO Library?
- Have you determined the IP addresses for the Ark server and the LTO library if needed.
- Must insert a cleaning tape in the library.
- Must have at least one tape loaded for each physical drive in the library.
- Must leave at least one free slot in the library. (Do not fill every slot).
